Terms & Conditions

These Terms & Conditions apply to services provided by NJB Events Limited, including DJ & Disco, LED Dance Floors, Magic Mirror Photo Booth and Bingo hosting.

NJB Events – Terms & Conditions

Business Name: NJB Events Limited (“we”, “us”, “our”)

Client: The person booking our services (“you”, “your”)

Event Date / Venue: As stated on your booking confirmation/invoice

Services: DJ services, LED Dance Floor hire, Magic Mirror hire, Bingo Presentation, and any add-ons agreed in writing.

1) Booking & Agreement

1.1 A booking is only confirmed once we have received the Booking Fee (non-refundable) and we have acknowledged your booking in writing (email or WhatsApp is acceptable).

1.2 Payment of the Booking Fee confirms that you have read, understood, and agree to these Terms & Conditions in full.

1.3 These Terms apply to all NJB Events services unless otherwise agreed in writing.

2) Pricing, Booking Fee (Non-Refundable) & Payment Terms

2.1 Your Total Price is confirmed on your quotation/invoice.

2.2 Booking Fee (Non-Refundable): A non-refundable booking fee of £25 or 5% is required to secure the event date. This is taken as a contribution towards administration, planning, securing the date, and potential loss of other bookings. The booking fee is not refundable if you cancel (subject to clause 9 and your legal rights).

2.3 Balance Payment: The remaining balance is due no later than 7 days before the event date, unless stated otherwise.

2.4 Late Payment: If the balance is not paid by the due date, we reserve the right to suspend services and/or treat the booking as cancelled by you (see clause 9).

2.5 Additional Costs: Extra charges may apply for additional time, extra services, travel, parking fees, or venue restrictions that require additional staffing or equipment. These will be agreed in advance where possible.

3) Event Details & Client Responsibilities

3.1 You must provide accurate event details including the venue address, event schedule, and a point of contact on the day.

3.2 You must ensure we have safe and reasonable access to load in, set up, operate, and pack down equipment.

3.3 If access is restricted, delayed, or refused, we may be unable to deliver services fully, and this may affect performance time without refund.

4) Venue Requirements & Safety

4.1 The venue must provide a safe environment and suitable space for the services booked.

4.2 A reliable power supply must be available nearby.

4.3 We reserve the right to refuse to operate equipment if conditions are unsafe, including but not limited to unstable flooring, exposure to rain/water, unsafe electrics, overcrowding or hazardous venue layout. Where the issue is outside our control, no refund will be due.

5) DJ Services – Performance Terms

5.1 We will provide a professional DJ service with appropriate sound and lighting equipment unless stated otherwise.

5.2 Music Requests: You may provide a playlist and/or song requests. We will make reasonable efforts to accommodate requests but cannot guarantee every track.

5.3 Explicit / Offensive Music: We reserve the right to refuse songs that are abusive, discriminatory, or inappropriate, or which breach venue or event policies.

5.4 Performance Times: Start and finish times will be agreed in advance. Overtime is subject to availability and additional charges.

6) LED Dance Floor Hire – Care & Damage

6.1 The LED dance floor remains the property of NJB Events at all times.

6.2 You agree to take reasonable care and ensure guests do not damage panels, spill excessive liquids, drag furniture across the floor, or use sharp objects / cause impact damage.

6.3 Damage / Cleaning Costs: Any damage beyond normal wear and tear, or specialist cleaning required due to misuse, will be chargeable to you.

6.4 No furniture should be placed on the LED dance floor unless agreed in writing.

7) Magic Mirror Photo Booth – Usage & Conduct

7.1 The Magic Mirror will operate for the agreed duration as per your booking package.

7.2 You are responsible for guest conduct. We may pause or stop the service if guests act aggressively, harass staff, damage equipment, or behave in a way that risks safety. In such cases no refund will be due.

7.3 Print/digital options are provided as per your package details.

7.4 If an online gallery or USB is included, delivery is typically within 3–14 days after the event unless agreed otherwise.

8) Bingo Hosting / Bingo Presenter Services

8.1 If you book Bingo Presentation / Hosting (including music bingo, party bingo, interactive bingo or similar), we will provide a professional host/presenter and any agreed equipment required to run the session.

8.2 Event Format: The bingo style, running time, start time, breaks, and any music/interactive elements will be agreed in advance. We may adapt the pacing on the night to suit the crowd and event schedule.

8.3 Prizes & Giveaway Items: Unless otherwise agreed in writing, prizes are the responsibility of the client. NJB Events can supply prizes if agreed in advance and may charge an additional fee.

8.4 Guest Conduct: You are responsible for guest behaviour. We reserve the right to pause or stop the bingo service if guests become aggressive, abusive, or behave in a way that risks safety or prevents the event from continuing. No refund will be due where the disruption is caused by guests.

8.5 Venue Requirements: The venue must provide suitable space, seating (if required), and safe access to power. The use of confetti is subject to obtaining approval from the venue by you.

8.6 Licensing / Rules: Where bingo is provided as entertainment only (e.g., party/music bingo), it is delivered as a hosted experience. If the event involves paid entry, ticket sales, fundraising, or cash prizes, you are responsible for ensuring any relevant venue permissions or legal requirements are met.

8.7 Timing Delays: If the bingo start time is delayed due to issues outside our control (venue delays, speeches, guest late arrival), the session time may be shortened to fit within the agreed event schedule.

8.8 If confetti cannons, table confetti, party poppers, or similar items are used during the event, you are responsible for ensuring permission is granted by the venue before use.

8.9 Any cleaning charges imposed by the venue due to confetti or related mess are the responsibility of the client.

8.10 NJB Events is not responsible for cleaning confetti from the venue after the event unless a clean-up service has been agreed in writing in advance.

9) Cancellations

If you cancel the booking, you must notify us in writing.

9.1 Booking Fee: The Booking Fee is non-refundable as it covers costs incurred in reserving the date and event planning.

9.2 Cancellation Charges (in addition to booking fee): Cancellation charges are a fair estimate of our losses depending on how close the cancellation is to the event date.

If you have already paid more than the amount payable, the difference will be refunded. If you have paid less, the remaining balance becomes due.

9.3 Rescheduling (Date Change): We will try to accommodate one date change subject to availability. If we can move your booking, the booking fee may be transferred. If we cannot accommodate the new date and you cancel, cancellation charges apply as above.

9.4 If We Rebook Your Date: If we rebook the same date and services to another client, we may reduce the cancellation charges (less any reasonable admin costs). This is at our discretion.

9.5 Statutory Rights: Nothing in these Terms limits your statutory rights under UK consumer law.

10) Our Cancellation / Unavoidable Changes

10.1 If we must cancel due to unexpected circumstances such as serious illness or events outside our control, we will offer a suitable replacement where possible (with your agreement), or refund all payments received, including the booking fee.

10.2 We are not liable for indirect losses (e.g. venue costs, catering, etc.) beyond the amount paid to NJB Events, except where required by law.

11) Force Majeure (Events Outside Control)

We are not responsible for delay or failure to perform caused by events outside reasonable control (e.g. extreme weather, venue closure, major travel disruption, power failure, government restrictions). Where possible we will offer rescheduling or adjustments. Refunds will be considered fairly based on services delivered and unavoidable costs incurred.

12) Equipment Failure & Contingency

12.1 We maintain equipment to a professional standard.

12.2 If a fault occurs, we will make reasonable efforts to repair or replace equipment promptly.

12.3 If services are materially affected and cannot be resolved, a partial refund may be offered based on the affected service element.

14) Liability & Insurance

14.1 We hold Public Liability Insurance where applicable (details available on request).

14.2 We are not liable for loss/damage caused by guests, venue issues outside our control, or indirect/consequential losses. Nothing excludes liability for anything that cannot legally be limited.

15) Photography, Video & Marketing

15.1 We may take photographs/video of our setup and equipment for promotional use.

15.2 If you do not want any imagery used online, you must notify us in writing before the event date.

16) Data Protection (UK GDPR)

16.1 We process personal data to manage bookings and deliver services.

16.2 Magic Mirror guest images may be used for promotional purposes unless refused in writing prior to the event date. Guest images are not sold or provided to third parties.

16.3 You may request deletion of personal data where legally permitted.
